What is missed call text back?

  1. Missed call text back is an automatic text message a business sends to someone whose call went unanswered, so the caller can carry on by text.

  2. Small Business Chatbot’s missed call text back is an intelligent AI agent that converses with your customers. Sarah, the AI receptionist, answers the calls you can’t take, texts each caller about what they asked, and carries on the conversation when they reply.

Also called missed-call text-back, auto text back, MCTB. Not the same as the auto-reply on your own phone, or a carrier’s missed-call alert.

How missed call text back works

Your carrier forwards the call you can’t take, and Sarah, your AI receptionist, answers it. When it ends, a workflow you build once, a trigger and two steps, writes a text from the call’s summary and sends it. Sarah answers the reply.

  1. Your carrier forwards the calls nobody picks up, so whoever answers your phone today keeps answering. The forwarded calls reach your Small Business Chatbot number, a local number you pick in the app. Sarah answers there in your business’s name and asks what the caller needs.

  2. The call’s summary sets it off.

When the caller hangs up, the call is summarised and the summary starts your workflow, at the trigger called Inbound voice call ended. An AI Agent step reads the summary and writes a text about what the caller asked.

  3. From your Small Business Chatbot number.

The Send Text step sends what the AI step wrote to the caller’s number. It arrives from your Small Business Chatbot number, the one your calls forward to, and says who you are.

  4. Once text replies are on, Sarah answers when the caller writes back. The conversation continues on your Small Business Chatbot number, at whatever hour they reply.

How missed call text back with an AI receptionist differs from an auto-text

An auto-text is enough when callers only need to know you’ll call back. Sarah is for a service business whose callers want an answer and a time while you’re working. On an emergency call, the caller is talking to Sarah once the call forwards, and she passes the call to you when they ask and transfers are on.

What your missed call text back says

Every caller gets a text about what they called for. A good text says who you are, why they called, and asks one question.

  • You tell it what to write.

Describe the text you want in plain words: your business name, what the caller asked about, and one question.

  • It writes one for each call.

It reads the summary of the call, writes the text, and sends it to the caller’s number.

  • The caller said what they need.

The text names the job and asks the next question.

  • The caller hung up early.

With nothing to go on, they get a short text you wrote, asking how you can help.

What Sarah has in front of her when the caller texts back

Your workflow’s text. When the caller replies, Sarah, your AI receptionist, picks up from the question it asked, answers from your website pages and Q&A, and, with your calendar connected, offers your open times and books the one they pick.

The first text in the thread is your workflow’s. Every reply after it is Sarah’s. Customers who text you first get the same Sarah: that is the AI texting agent.

What you see after each call Sarah answers

You get an email for the call, an email for the text conversation, and one contact that holds both.

  1. One email arrives when the call ends and one when the text thread goes quiet. The second brings the caller’s number, their texts and the replies from Sarah, your AI receptionist.

  2. The caller is saved to your CRM under their number.

The call, the text your workflow sent and the text conversation sit on that contact’s timeline, the newest at the bottom.

The rules your missed call text back follows

Every text follows a call Sarah, your AI receptionist, answered. The rest are cards and switches you set in the AI workflow builder.

  • Who gets a text. An If step on the call’s spam flag ends the run for a flagged call. A second If can give callers Sarah transferred to you their own branch.
  • When the check-in goes. The first text follows the call. A check-in is a Wait step and a second Send Text, and the Wait can hold it to the days and hours you allow.
  • What a reply does. Save the caller as a contact in the workflow and switch on Stop workflows when contact replies. Their reply then removes them, and the queued check-in is dropped.
  • STOP. A caller who texts STOP is marked Do not text, and every workflow text checks that mark before it sends. opt-outs and STOP
  • One send per step. Each step sends its text once, even when a send is retried.

Publishing, the outbound switch and the daily limit work as they do for every sequence: see AI lead follow-up.

Questions about missed call text back

Can I set up an auto text reply for missed calls?

Yes, in three ways. Your own phone can send a preset reply when you decline a call, on that one handset. Some business phone systems send a fixed automatic SMS after an unanswered call. A missed call text back service such as Small Business Chatbot answers the forwarded call first, then your workflow texts the caller.

Can the first text include my booking link?

Type it into the Send Text step’s Message in Small Business Chatbot, after the AI step’s answer. Every caller then gets the question and the link in one text.

Does it text callers who dial my Small Business Chatbot number directly?

It does. The workflow starts after every call Sarah, your AI receptionist, answers on your Small Business Chatbot number, whether the call was forwarded from your existing line or dialled straight to it.

Can the workflow email the caller as well as text them?

Add a Send Email step after the text, or after a Wait. When a caller gives an email address on the call, the Inbound voice call ended trigger carries it as a variable, and Small Business Chatbot logs the email on their contact.

Can the call’s details go to my CRM or another tool?

Through the workflow. Add an HTTP Request step that sends the call’s summary to the other tool, or use the Call Ended trigger in the Small Business Chatbot Zapier app.

Answer the call. Then send the text.
