How an AI CRM fills itself in
Website chats, answered calls and texts save to the customer’s contact, each with a summary of the conversation. The texts and emails your workflows send are logged beside them.
-
Name, phone and email, saved from the chat.
When a visitor gives a phone number or email, Sarah saves them as a contact. When the chat ends, its summary lands on their timeline. Someone who is already a contact gets the chat on their existing record.
-
Matched by phone number, with a summary of the call.
When Sarah answers your business line, the call saves to the caller’s contact and its summary lands on the timeline. You also get the summary and transcript by email after every call.
-
Text conversations land on the same record.
When the texting agent is on, Sarah answers texts to your business number, and each conversation saves to the customer’s contact. A customer who texts STOP is marked Do not text.
-
Every text, email and call, on the customer’s contact.
A booking, a new contact or a tag can start a follow-up workflow once you publish it and switch outbound on. Its texts come from your business number, and its steps can add a tag, set a status or create a task.

What is an AI CRM?
An AI CRM is a customer database that fills itself in from conversations: AI answers customers, saves their details and summarizes what they asked.
Sarah’s CRM is the AI CRM from Small Business Chatbot. Chats, calls and texts she answers save to the customer’s contact with a summary of each, beside your workflows’ texts and emails.
Also called AI-powered CRM, AI-native CRM, AI-driven CRM, AI-first CRM. Not the same as a contact spreadsheet, which holds only what someone types in.

Questions about the AI CRM
How do contacts get into the CRM?
Website chats, answered calls, texts, email replies and bookings save to contacts on their own, and each source has its own on and off switch. You can also add a contact by hand or import a CSV.
Will a customer who chats and then calls end up as two contacts?
No. Contacts are matched on phone and email, so a call from the same number joins the same contact. When a chat’s match isn’t certain, it waits under Needs review for you to confirm.
Is it a CRM with texting?
Yes, through Sarah and your workflows. When the texting agent is on, Sarah answers texts to your business number and each conversation saves to the customer’s contact. Workflows text and email from your business number, and every message is logged.
What does the AI do in this CRM?
It’s an AI-native CRM: Sarah answers your website chats, calls and texts, and each conversation’s summary lands on the customer’s timeline. In a workflow, an AI decision step can choose which branch runs next.
Can I see the full conversation from a contact?
The contact’s timeline shows each conversation’s summary. Full chats are in your conversation history, and after every call you get an email with its summary and transcript.
Does it have a sales pipeline?
Yes. Opportunities sit on a board you drag between stages, each with a value and a primary contact. You name the stages when you create a pipeline.
Can I import my contacts from a spreadsheet?
Yes. Upload a CSV, map its columns, and see a preview of the rows and any errors before you import. Contacts, companies, opportunities, notes and tasks can all come in this way, and each can be exported as a CSV.
Can I add notes and tasks?
Yes. Add notes, and tasks with a due date, type and priority, to any contact, company or opportunity. Tasks also have their own list.
Can a workflow update the CRM?
Yes. A new contact, an added tag or a booking can start a workflow, once you publish it. Its steps can add or remove tags, set a status, update an opportunity, and create a note or a task.
How do customers opt out of texts?
A customer who texts STOP is marked Do not text, and START clears it. You can also set Do not contact, text, email or call on any contact, and workflows skip contacts who opted out.
Does it sync with HubSpot or Salesforce?
Yes, through Zapier or a workflow. A Zap adds each new contact to HubSpot or Salesforce, and leads they send by webhook come in through a workflow’s inbound webhook. You can also import your contacts as a CSV.
Is it a good CRM for service businesses?
It’s built for small businesses that book visits and jobs, like plumbers, cleaners and landscapers. Sarah books from the website chat and on phone calls into your connected calendar, and each booking lands on the customer’s contact.
Is the CRM in the free trial?
No. The 7-day free trial covers the website chat. The CRM, phone, texting and workflows unlock when you start a paid plan.
How much does the AI CRM cost?
$99 a month on Self Serve, or $79 a month billed annually, with the website chat, phone and texting included. Managed is $249 a month, or $200 billed annually, set up and run for you.
Every conversation, on one contact.
