Mailgun is the default email-sending engine inside Small Business Chatbot. You don't need a separate Mailgun account — we provision your sending domain on Mailgun automatically when you connect it in the dashboard. From that point on, every workflow email and every AI follow-up sequence goes out through Mailgun, signed and authenticated as your own domain.

Setup is a one-time DNS publication: enter the subdomain you want to send from, copy the four records we generate, paste them into your DNS host, and click Verify. Once verified, outbound email starts delivering immediately.

How to connect Mailgun

Open Settings → Email in the dashboard and click Connect domain.

Enter the subdomain you want to send from. We strongly recommend a subdomain like mail.yourbusiness.com so it doesn't conflict with the records used by your inbox provider.

We'll generate the DNS records you need. Two are required to send: an SPF (TXT) and a DKIM signing key (TXT). Two more are strongly recommended and added by default: an MX pair (so replies to automated emails route back into our unified inbox) and a tracking CNAME (for opens, clicks, and HTTPS-secured tracking links via Let's Encrypt).

Log in to your DNS host (GoDaddy, Cloudflare, Namecheap, Route 53, Google Domains, etc.) and add the records exactly as shown.

Click Verify domain in the dashboard. Most hosts verify within a few minutes; some can take up to 24-48 hours to propagate.

Click Send test email to confirm headers, branding, and merge fields all render correctly in your inbox.
Good to know
  • Only SPF and DKIM are strictly required to start sending. MX and tracking CNAME are optional — but skipping MX means replies don't route back to us (so AI follow-up sequences won't auto-pause on reply), and skipping the tracking CNAME means no open/click data.
  • Mailgun has separate US and EU infrastructure. We pick the right region for you automatically — if you're switching from a previous Mailgun account, double-check the region matches.
