ServiceTitan
Create a lead or a booking in ServiceTitan for each caller with Zapier, with the call summary for your CSRs and dispatchers.
- Route
- Zapier, with the Small Business Chatbot app's triggers and ServiceTitan's Zapier actions
- Sign-in
- Your Small Business Chatbot account, and a ServiceTitan Client ID and Secret made for Zapier
- Time to set up
- About twenty minutes
What this does
When the AI receptionist finishes a call or books a visit, a Zap sends the customer to ServiceTitan: as a lead your CSRs follow up, or as a booking in your booking queue, with the address, the time and the call summary.
Before you start
- The Small Business Chatbot app connected in Zapier: Zapier.
- A ServiceTitan tenant admin to connect Zapier: in ServiceTitan, under Integrations › API Application Access, they generate the Client ID and Secret that Zapier asks for.
Build the Zap
- Pick the trigger
In Zapier, create a Zap with the Small Business Chatbot app and Call Ended for every new caller, or Appointment Booked for booked visits only. Chat Ended sends website chats.
- Send it to ServiceTitan
Add ServiceTitan's Create Lead action for callers your team follows up, or Create Booking to put booked visits in the booking queue. Map First name, Phone and Email, and put Action items in the lead's or booking's summary.
- Add the transcript, if you want it
After Create Lead, add ServiceTitan's Create Lead Note action with Transcript as the note.
- Turn the Zap on
Test each step in Zapier, then turn the Zap on.
What each trigger carries is under Payload sample. Calls that match your spam keywords are marked, so add Zapier's Filter step to skip them.
Other ServiceTitan actions
ServiceTitan's Zapier app has more than 70 actions. The ones that fit the AI receptionist's calls are Create Customer, Create Location, Create Job, Create Appointment, Reschedule Appointment, Cancel Appointment, Create Lead Follow Up, Search Customers and Search Leads.
